Job Duties: | Manage and maintain executive's schedules. Prepare reports, memos, letters and other documents, using word processing, spreadsheet, database, or presentation software. Coordinate and direct office services such as records, personnel issues, and to aid executives. Answer phone calls and direct calls to appropriate parties or take messages. Prepare responses to correspondence containing routine inquiries. Sort and distribute incoming correspondence, including faxes and email. Greet visitors and determine whether they should be given access to specific individuals. Prepare agendas and make arrangements such as coordinating catering for luncheons, for committee, board, and other meetings. Conduct research, compile data, and prepare for consideration and presentation by executives, committees, and boards of directors. Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work. File and retrieve corporate documents, records, and reports. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Provide clerical support to other departments. Interpret administrative and operating policies and procedures for employees. Help to direct and oversee administrative policies and procedures for offices or organizations. Meet with individuals, special interest groups, and others on behalf of executives, committees, and boards of directors. Train other clerical staff and arrange for employees' training by scheduling training or organizing training material. Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures. |

Qualification Requirements: | High school graduate with 24 months experience in corporate office and Human Resource supports. Familiar with corporate secretarial procedures. Proficient in MS office application. Resourceful and ability to handle varying work assignments. Able to handle various assigned task from time to time. Organized, can work independently and can multitask.reliable, hardworking, detail-oriented and team player. Excellent oral and written communication and interpersonal and teamwork skills, can communicate in English and Chinese. |

Fringe Benefits: | The job opportunity is a temporary, full-time position commencing on Oct 1,2020 to Sep 30,2021. THREE-FOURTH GUARANTEE: Workers will be offered employment for a total number of work hours equal to at least three fourths of the workdays of the total period that begins with the first workday after the arrival of the worker at the place of employment or the advertised contractual first date of need, whichever is later, and ends on the expiration date specified in the work contract or in its extension, if any. TRANSPORTATION AND SUBSISTENCE: If the worker completes 50 percent of the work contract period, the employer will provide, reimburse, or advance payment for the worker's transportation and subsistence from the place or recruitment to the place of work. Upon completion of the work contract or where the worker is dismissed earlier, the employer will provide or pay for the worker's reasonable costs of return transportation and subsistence back home or to the place the worker originally departed to work, except where the worker will not return due to subsequent employment with another employer or where the employer has appropriately reported a worker's voluntary abandonment of employment. The amount of transportation payment or reimbursement will be equal to the most economical and reasonable common carrier for the distance involved.
