| Job Duties: | SUMMARY Under the direct supervision of the Logistics Manager, the Administrative Coordinator is responsible for booking and coordinating outbound/inbound shipment (ocean/air) and Compiling documents on shipments to expedite removal of cargo from dock/airport and prepares billing for shipping charges and provides office administrative and clerical assistance by performing the following duties. ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. Other duties may be assigned: • Examines ship’s manifest and bills of lading to determine work procedures for releasing cargo. • Notifies consignee or agent by telephone or letter of arrival dates of shipment, customs clearance requirements, cargo availability and demurrage charges. • Stamps bill of Lading so that cargo can be removed from port yard and Container Freight Station. • Computes with information provided from bills of ladings to generate various reports. • Prepares billing reports and submits to accounting department for collection. • Obtains cargo data from shipper such as cargo type, weight, measurement, destination and shipping data in order to determine allocation of cargo and fully utilize capacity of each Ship. • Consults booking sheet to ascertain availability of cargo space. • Informs shipper of ship’s name in which cargo is laden, sailing and delivery date of cargo. • Prepares various container reports are sent to respective Principals. • Composes, types letters or correspondences from drafts and oral directives. • Prepare quotes for customers. • Provides customer(s) shipping details. • Operates a multi-line telephone; Takes messages, gives information to callers; Screens and routes calls to appropriate destination. • Greets the public, staff and others in a professional, courteous manner; Ascertains nature of business and directs visitors or callers to appropriate department or person. • Maintains various logs, spreadsheets and manuals. • Routes all incoming and outgoing faxes messages to respective persons or divisions. • Procures supplies, office cleaning supplies and materials, parts as needed. In accordance with purchasing procedures. • Operates office equipment including PC, adding machine, copy machine, postage machine, printer and other machines. • Maintenance office files and records in accordance with internal procedures. Responsible for the maintenance of the central filing system. • Perform a full range of customer service duties related to area of assignment; provide information to customers requiring the use of judgment and the interpretation of policies, rules, and procedures. • Monitor Process Key Performance Indicators of Logistics and Trucking divisions. • Assist with External Provider evaluation. | Comments: | The job opportunity is a temporary, full-time position commencing on October 1, 2019 to September 30, 2020. THREE-FOURTHS GUARANTEE: Workers will be offered employment for a total number of work hours equal to at least three fourths of the workdays of the total period that begins with the first workday after the arrival of the worker at the place of employment or the advertised contractual first date of need, whichever is later, and ends on the expiration date specified in the work contract or in its extensions, if any. TRANSPORTATION AND SUBSISTENCE: If the worker completes 50 percent of the work contract period, the employer will provide, reimburse, or advance payment for the worker's transportation and subsistence from the place of recruitment to the place of work. Upon completion of the work contract or where the worker is dismissed earlier, the employer will provide or pay for the worker's reasonable costs of return transportation and subsistence back home or to the place the worker originally departed to work, except where the worker will not return due to subsequent employment with another employer or where the employer has appropriately reported a worker's voluntary abandonment of employment. The amount of transportation payment or reimbursement will be equal to the most economical and reasonable common carrier for the distances involved. Employer-Provided Tools and Equipment: Workers will be provided, without charge or deposit charge, all tools, supplies, and equipment required to perform the duties assigned.
