| Job Duties: | • Ensure confidentiality of all restricted or sensitive information of the department • Liaise and arrange all guests’ inquiries and requests • Assist in preparing Profit & Loss Reports, Expenses Reports and any administrative related duties • Arrange regular and ad-hoc meetings, briefings, conferences and other travel arrangements • Coordinate all activities and organization within the division • Maintain a professional and friendly approach in dealing with internal and external guests • Type, file, and photocopy memos, faxes, and compile other data as required • Help and support the department head in implementing departmental policies and procedures as well SOPs • Maintain customer feedback and complaint procedures • Assist in issuing employee schedules • Maintain personnel records of all departmental staff accurately and provide timely and accurate feedback to superior on leave balance and payroll issues • Assist in coordinating all trainings with relevant providers; maintain training records to be updated and accurate at all times • Adhere to all Company policies and procedure • Report accidents, injuries, unsafe work conditions and/or security issues to supervisors • Perform other related duties as assigned |

| Qualification Requirements: | • Minimum of 2 years or more secretarial working experience in a five (5) star hotel environment or well-known property • Bachelor's degree or equivalent working experience • Proficiency in Microsoft Office: Outlook, Word, Excel and PowerPoint and other job related software • Be able to speak, read, and write in English • Preferably speak, read, and write in Mandarin • Excellent calendar management experience • Good attention to detail with problem solving skills and good planning, organization and project coordination skills • Ability to work in an environment where pipe, cigar, and cigarette smoking is permitted • Able to work independently • Able to multi-task and work well under pressure |
