| Job Title: | Administrative Coordinator - INLS |
| Job Duties: | SUMMARY Under the direct supervision of the INLS Project Manager the INLS Coordinator is responsible for providing comprehensive administrative and technical support in an effective and efficient manner. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. • Creates database of Lighterage Maintenance Workers (LMW). Database includes LMWs current location, vessel assignment, destination and personal information. • Files and monitors LMW Rotation Schedule created by Senior Lighterage Supervisor. Inform AMSEA, Ambyth Lighterage department, Senior Lighterage Supervisor and Vetyard accordingly of any changes and updates. • Files Lighterage reports (Time Sheets only) and submits to Vetyard for billing purposes. • Files Lighterage reports for input to INLS program NS5 system. • Arranges and coordinates flight, transportation and hotel accommodation for LMWs and other personnel. • Coordinates with Principal for request of Contractor Letter of Identification when LMWs are travelling to Diego Garcia. • Coordinates with Vetyard for LMWs travelling from Manila for deployment to assigned vessel. • Files reports, schedules and bulletins provided by Principal. • Coordinates with respective agents when LMWs are deployed to respective destinations. • Advises vessel Captains and Chief Engineers at least 5 days prior to LMW’s embarkation and disembarkation. • Arranges and prepare necessary documentation to / from port of destination to include visas, Epic form submittal and travel request form. • Provides LMW and husbanding agent all necessary flight, transport and hotel details. • Provides LMW arrival / departure information for port of departure / destination. • Provides LMW with husbanding agent POC and contact information. • Follow up with the husbanding agent for safe LMW arrival / departure information. • Assist in maintaining computer networks and related computing environments including computer hardware, systems software, applications software, and all configurations. • Confer with network users about how to solve existing system problems. • Oversee the performance of computer systems in a regular basis. • Answer user inquiries regarding computer software or hardware operation to resolve problems. • Install and perform minor repairs to hardware, software, or peripheral equipment, following design or installation specifications. • Refer major hardware or software problems or defective products to vendors or technicians for service. • Read technical manuals, confer with users, or conduct computer diagnostics to investigate and resolve problems or to provide technical assistance and support. • Monitor the system for equipment failure or errors in performance. • Notify supervisor or computer maintenance technicians of equipment malfunctions. • Performs other related duties. |

Basic Knowledge of Unix is helpful. Must be able to troubleshoot and repair PCs. REASONING ABILITY: • Ability to apply commonsense & understanding to carry out instructions furnished in writing, oral, or diagram form. • Ability to deal with problems involving several concrete variables in standardization situations.
