Job Duties: SUMMARY Under the direct supervision of the Manager, Ship Agency and Marine Services or designee, the Administrative Assistant provides corporate office administrative and clerical assistance by performing the following duties ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. • Maintains excellent communications with ship Principals, Deck and Engineering officers. Ensures customer requests and requirements are met in a timely and cost effective manner. • Operates a multi-line telephone; Takes messages, gives information to callers; Screens and routes calls to appropriate destination; Handles incoming and outgoing company/vessel mail. • Greets the public, staff and others in a professional, courteous manner; Ascertains nature of business and directs visitors or callers to appropriate department or person. • Routes all incoming and outgoing faxes and email messages to respective persons or companies. • Arranges all travels requests with respective travel agencies, local transportation, hotel accomodations, dental and medical appointments and hospitalization if necessary. • Communicates with Master and Principals to ensure all travel arrangements are in order; arranges transport for various types of transportation needs required. • Types and/or formulates correspondence and transmits email and fax messages. • Conducts research of services as deemed necessary; adds and checks columns of figures; prepares and transmits courier packages. • Maintains various logs, spreadsheets and manuals. • Procures supplies as needed. • Operates office equipment including PC, adding machine, copy machine, postage machine, printer and other office machines. • Prepares coffee and Run errands. • Maintains office files and records in accordance with internal procedures. • Conducts daily cleaning of Administrative offices. • Prepares and proofreads advertisements; distributes and collects all company gas cards. • Assists with special events planning. • Operates personal computer to access e-mail, electronic calendars, and other basic office support software. • Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.

Qualification Requirements: POSITION MINIMUM QUALIFICATIONS: • High school Graduate • Must possess a valid A/B driver’s license • Strong oral and written communication skills • Proficient in MS Word/Excel and PowerPoint • 4 to 6 years experience in Travel, transportation and hotel arrangements. • 4 to 6 years customer service experience in marine services industry.

OTHER SKILLS and ABILITIES: • Must be able to operate a PC, MS Excel, MS Word, MS Windows, MS power point and Word Perfect software. • Operate a multiline telephone, telex, fax and other office equipment. • Correct English usage, spelling, grammar and punctuation. • Knowledge of common office practices and procedures; typing speed of not less than 30WPM from clear copy. • Understanding and carrying out verbal and written instructions. • Maintaining working relations with staff and public. • Recognizing and maintaining strict confidentiality of work material. • Working independently in the absence of supervision.
