Job Title: Assistant Front Office Manager
Job Duties: Training and performance of the Front Office staff, including Front Desk/cashiers. To ensure the guests are looked after and served according to the set standards. Trains newly hired staff and re-trains or cross-trains experienced employees with duties, responsibilities, procedures, functions and any changes. Supervises staff/supervisors and the implementation of proper and standard procedures for front desk. Coordinates with other departments; especially housekeeping, reservations, accounting, guest relations, guest services and engineering. Is familiar with and be able to explain the general hotel information and policies/procedures, front office procedures. In addition, be able to provide information about events, entertainment and dining available on island. Ensures that daily, weekly and monthly reports and logs are prepared, complete and kept up to date. (i.e. inventory, back-up list, absentee/tardy reports, front desk log book, key log, and registration cards). Ensures the necessary arrangements for daily arrivals and departures are prepared, including room assignments and blocking, reviewing for possible errors and approving any necessary changes, especially for groups. Handles guest complaints. Maintains an an even balanced change fun, so there is always an adequate supply of cash available to the staff to fulfill the needs of our guests. Follows up on “overs/shorts,” unpaid balances, missing vouchers, and rooming lists with accounting. Helps control and coordinate overflow situations. Performs routine key audits to ensure master keys are accounted for at all times. Prepares the front desk weekly work scheduled and is responsible for posting it at least 48 hours prior to the start of the next work week, keeping in mind optimal coverage during slow and busy periods. Prepares the ‘time and attendance’ sheet for payroll. Attends and/or conduct front office supervisory meetings and takes/distributes minutes. Maintains current inventory of supplies and monitor ordering. Supports staff and counsel, coach and follow up on behavior. Evaluates staffs’ performance at various stages throughout their year. Ensures follow through on guests’ inquiries and requests is complete. Performs the additional duties and responsibilities of the front office manager in the event of his/her absence. Attends bi-weekly management meetings. Conducts monthly room inspections. Completes monthly MOD (Manager on Duty) shifts. Follows all safety and emergency policies, relaying pertinent information to the appropriate people in a timely manner Perform other duties as determined by management

Qualification Requirements: Assists with the Front Office operations, including a Call Center, Concierge, Tour Desk and Guest Service operations; Must have the ability to train employees to ensure standards of the hotel are met. Minimum of five (5) years of hotel/hospitality is required. Minimum of two (2) years of previous experience managing the Front Office of a hotel is required. Must be knowledgeable on Property Management System (PMS) – Opera. Excellent written and oral communication skills are necessary. Must be able to solve guest complaints and work in a high-pressured environment. Must be able to speak and understand one or more of the following languages: Korean, Japanese or Russian; Must be able to work graveyard shifts, evenings, weekends, and holidays.
