| Job Duties: | • Maintain line of communication between Front Desk, Butler Services and Housekeeping regarding which rooms are ready for occupancy and which require service • Assign the room properly • Assist in check-in and check-out at the Front Desk counter, or Concierge counter if necessary • Responsible for correspondence between the sales managers and the clients as well as expense reports for the supported sales managers • Ensure confidentiality of all restricted or sensitive information of the department • Liaise and arrange all guests inquiries and requests • Good understanding of the system and ready to support when situation arises • Assist in preparing Profit & Loss Report, Expenses Report and any administrative related duties • Arrange regular and ad-hoc meetings, briefings, conferences and other travel arrangements • Coordinate all activities and organization within the Division • Maintain a professional and friendly approach in dealing with internal and external guests. • Provide administrative support in the following areas: - Typing, filing, photocopying, translating, memos, faxes, compiling data etc. - Departmental policies and procedures, SOP - Maintain customer feedback and complaint procedures - Assist in issuing roster • Maintain personnel records of all departmental staff accurately and provide timely and accurate feedback to superior on leave balance and payroll issues • Assist in coordinating all trainings with departmental trainer and other providers; maintain training records to be updated and accurate at all times • Report accidents, injuries, unsafe work conditions and/or security issues to supervisors • Remain well-mannered and well-groomed as per department and company standards at all times. • Adhere to the company policies and procedures and comply with the Code of Conduct. • Perform other related duties as assigned. |

| Qualification Requirements: | • Previous experience in customer services/ related field is preferred • High school graduate or above • Excellent interpersonal / presentation skills • Excellent time management skills and ability to multi-task and prioritize work • Attention to detail and problem solving skills • Proficiency in MS Office: Outlook, Word, Excel and PowerPoint • Proficiency in PMS and guest request dispatch systems • Fluent in English • Ability to communicate in Asian languages (either Chinese, Korean or Japanese) • Must be able to sit or stand for long periods of time while performing duties. • Team player who responds quickly to demands and thrives in a high-pressure work environment. • Able to multi-task. |
