| Job Duties: | • Perform full PA and secretarial duties for the SVP/VP - Hotel Operations, including preparing correspondence, screening telephone calls, and organizing appointments • Schedule meetings and prepare meeting materials and minutes for the SVP/VP - Hotel Operations • Receive visitors courteously • Manage files, reports, letters, memos and other relevant business documents and maintain the filing and tracing system of the Hotel Department • Prepare reports and presentation materials • Liaise with senior management to ensure reporting deadlines are met • Coordinate incoming and outgoing mail (including courier services). All correspondence to be acknowledged within 24 hours of receipt • Manage multiple projects simultaneously, prioritize work and follow through on issues in a timely manner • Answer incoming telephone calls from different countries, determine purpose of calls, and forward calls to appropriate personnel or department, ensuring professional telephone etiquette. • Welcome visitors, determine nature of business, and announce visitors to appropriate personnel, maintaining professional and courteous demeanor. • Prepare correspondence, reports, minutes, agendas, memos, forms, directories, and other documents and communications from computer systems, drafts, recordings, or verbal instructions as requested in both Chinese & English. • Coordinate and allocate overflow work to the Hotel Coordinator and Secretary • Maintain strict confidentiality at all times on all matters • Develop, review and refine Hotel Administration department policies and procedures • Suggest ways to reduce costs without affecting the quality and standard of the Department or the resort • Interact with Department and Company Team Members, management, and contractors professionally and positively • Encourage good relationships, promote team spirit, and ensure effective two-way and multicultural communications • Remain well-mannered and well-groomed as per Department and Company standards at all times • Clean and tidy the office and participate in the Company recycling program and follow a strict discipline to reduce, re-use and recycle wherever possible • Remain well-mannered and well-groomed as per department and company standards at all times. • Adhere to the company policies and procedures and comply with the Code of Conduct. • Perform other related duties as assigned. |

| Qualification Requirements: | • Must have 1-2 years’ administration/secretarial experience • Experience in 5-star hotel/well-known property is an advantage • Bachelor’s Degree or relevant experience; • Excellent calendar management experience including complex executive meetings; travel arrangement experience • Excellent planning, organization and project coordination skills to achieve projects on deadline • Excellent interpersonal / presentation skills • Mature, responsible, friendly and polite with excellent communication and interpersonal skills • Patient and able to work independently with little supervision • Attention to detail and problem solving skills • Team player who responds quickly to demands and thrives in a high pressure work environment • Proficiency in MS Office: Outlook, Word, Excel and PowerPoint • Fluent in English • Ability to speak Cantonese or Mandarin is preferred. • Must be able to sit or stand for long periods of time while performing duties. • Team player who responds quickly to demands and thrives in a high-pressure work environment. • Able to multi-task. |
