Job Title: Rooms Division Intern
Job Duties: II. Essential Tasks – Housekeeping: • Represent management in the handling of guest complaints, compliments and suggestions in a diplomatic manner • Coordinate and provide administrative support to all areas of Housekeeping department • Maintain all employee records within the Housekeeping department • Maintain the security of all room keys and locks to various cabinets and drawers • Consistently update records of lost and found • Create Housekeeping, Room Attendant, and Supervisor worksheets and checklist • Ensure all guest requests are addressed and provided on a timely manner • Obtain list of rooms to be cleaned immediately and list of prospective check-outs or discharge to prepare work assignments • Assess inventory, assign, inspect, verify, and report status of rooms/suites • Communicate and coordinate to ensure efficient repairs and maintenance related to guestrooms and public areas • Assist in inspecting rooms cleaned earlier by other housekeepers • Perform room inspections after Housekeeping staff complete room list • Attend staff department meetings, communicating pertinent information to associates and managers. • Perform other ad-hoc duties. III. Essential Tasks – Front Office • Coordinate with all departments concerned in order to maintain Front Office functions properly • Assign and approve duty roster for all Front Desk staff • Accurately answer inquiries from potential guests and accept hotel reservations • Coordinate staff training on telephone and in-person inquiries regarding reservations, hotel information, and guest concerns. Also, assist in training staff on suggestive selling techniques to sell room nights to increase occupancy and revenue • Assist in supervising daily shift process ensuring all team members adhere to standard operating procedures • Allocate rooms to expected arrivals after checking the guests preference and special requests • Operate front desk equipment, including assisting incoming and outgoing calls, setting wake-up calls, enabling do-not-disturb, and paging for in-house guests • Ensure Front Office log book and hotel log book is always updated and acted upon • Attend staff department meetings, communicating pertinent information to associates and supervisors. • Perform other ad-hoc duties. IV. Essential Tasks – Spa & Recreation • Assist with the departments operational budget ensuring that it is in line and costs are strictly controlled • Ensure that booking strategies utilize therapist’s time effectively and maximize revenue • Assist with coaching and evaluate spa team performance • Answer questions about services, general property information and amenities • Ensure adherence to quality improvement or corrective action plans • Responsible for coordinating training of all associates on the social recreation team • Assist in establishing administrative rules and regulations, polices and procedure for the department • Assist in developing long range plans for the department by setting and meeting yearly and monthly goals and objectives • Attend staff department meetings communicating pertinent information to associates, managers and the director • Assist in operating all social and group recreation programs and assist in the maintenance and upkeep of recreation facilities • Continually come up with enhance crafts, family activities, camp, games and experience throughout out property. Also, create and implement new activities for all ages. • Monitor recreation areas and restrooms to a ensure a clean and safe environment • Assist in all aspects of Group Recreation to include booking procedures, professionally representing the department and acting as the point person for the group, plan and coordinate agendas and activities for the group, attend planning meetings • Carry out duties as they relate to: scheduling, payroll, recruiting, training, financials, MOS, inventories, ordering, and safety procedures. • Attend staff department meetings communicating pertinent information to associates, managers and the director V. Essential Tasks – Butler Services • Ensures appropriate staffing consistent with needs and within the constraints of the organization’s physical and financial resources • Makes certain that all Butlers go to the guest suites assigned to them, introduce themselves and explain the services they will be offering once checked in; • Ensures that all Butlers in his/her team attend meetings, training activities, courses and all other work-related activities as required • Assists in evaluating the performance of all Butlers • Ensures that all personalized services and information are provided to eligible suite guests • Drive departmental and individual goals with Butlers and record the results • Assists in creating and providing training, coaching and counseling for butlers • Familiar with the recruitment process and conduct interviews when necessary • Understand the disciplinary procedures and apply them as needed • Gather, summarize, and utilize information about the property and the surrounding area amenities, including special events and activities. • Attend staff department meetings, communicating pertinent information to associates and supervisors. • Perform other ad-hoc duties.

Qualification Requirements: • College student currently studying Hospitality or Hotel Management • Good leadership skills, communication skills and staff motivation • Excellent planning, organizational and execution skills • Responsible self-starter, capable of handling multi-faced projects and of working under pressure • Proficiency in MS Office: Outlook, Word, Excel and PowerPoint • Able to work on flexible shifts including overnights, weekends and holidays on rotation basis • Fluent in English • Ability to communicate in Asian languages is an advantage (either Chinese, Korean or Japanese) • Ability to multi-task.
