Job Title: Administrative Assistant
Job Duties: Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff. Provide administrative support to the Corporate Legal Counsel in the overall administration of the legal office. Perform complex responsible and confidential duties for the Chief Legal Counsel. Deal with details that require confidentiality, initiative, independent judgment and strong personal skills. Study management methods in order to improve workflow, simplify reporting procedures or implement cost reductions. Type or independently prepare correspondence; maintain variety of legal and administrative files and records. Screen calls, visitors, and mail, interpret office policies, rules and regulations; independently respond to letters and general correspondence of a routine nature; file legal notices; make travel arrangements; maintain appointment schedules and calendars; arrange meetings and conferences; process claims for reimbursement of Chief Legal Counsel and legal staff; obtain and assemble materials required; type and correct draft; supervise final product and distribution. Prepare legal papers and correspondence of legal nature, such as summonses, complaints, motions, and subpoenas, using typewriter, word processor, or personal computer. May review law journals and other legal publications to identify court decisions pertinent to pending cases and submit articles to company officials. Perform other related duties as required or assigned.

Qualification Requirements: Require job-related course work, or an associate's or bachelor's degree. A minimum of two years of work-related skill, knowledge, or experience. Demonstrated customer service experience and experience working in a fast paced working environment. Must successfully pass the company’s standard computer and English proficiency test. KNOWLEDGE, SKILLS and ABILITIES: Knowledge of the company organization and operating details, policies, rules, administrative regulations and procedures; advanced computer skills and mastery of Windows, word processing, spread sheets and data base management application software; English usage, grammar, spelling and punctuation; modern office methods, procedures, and equipment and business letter writing. Can communicate effectively, orally and in writing; handle confidential information; work cooperatively with other departments; interpret and apply administrative and departmental policies, laws, and rules; type accurately from clear copy at a speed of 60 net words per minute; (taking dictation at a speed of not less than 90 net words per minute may be required); compose correspondence independently; compile and maintain copies and extensive records and files; analyze situations carefully and adopt effective courses of action; monitor various deadlines and legal requirements for compliance with Election Code and other regulations; understand and carry out oral and written directions. Position Qualification: An Associate degree or an equivalent combination of education and three years of increasingly responsible administrative work experience as administrative assistant to an executive, handling legal or public documents and has an extensive public contact.
